Administrative Assistant

This document serves to identify the Roles, Responsibilities and Qualifications of the Fourth Elm Construction Administrative Assistant. All Fourth Elm staff members serve as an integral player to the Fourth Elm team.  Fourth Elm’s guiding principle is to serve owners and clients as a team. We will support one another, and our success will be defined by our team.  This position Is a “multi-functional” role. providing administrative support to all departments; Including but not limited to Preconstruction Department, Business Development, Marketing and Safety.

Roles & Responsibilities

Administrative:

  • Reception duties and Office Communication: Greeting visitors, answering the office phone line, managing the office email account, managing the office voicemail, locking up the office at the end of each day. Create a positive and inviting first impression to Fourth Elm guests and visitors.
  • Run company meetings through reporting and minutes. These meetings include but are not limited to Operations Meetings, Business Development Meetings and Quarterly All‐Employee Meetings
  • Assist in planning, organizing, and executing company events and team outings within a budget
  • Manage the company’s Zoom account
  • Maintain an organized, clean office
  • Manage office inventory with supply orders. This includes kitchen snacks, office supplies, etc.
  • File/organize all office documents throughout departments
  • Provide additional general assistance to Partner, John Martin

Preconstruction Department – Including but not limited to the following:

  • Manage AIA Construction Contract process (AIA Software, DocuSign, etc.)
  • BUILDR – Monthly billing cost, revenue input, schedule updates
  • Assisting Estimators with drawing logs

Marketing Department – Including but not limited to the following:

  • Organize and update the company’s contact database on BUILDR
  • Help with the coordination/communication with vendors for client gifts and employee gifts
  • Execute event registrations/employee RSVPs and lodging needs for conferences and events
  • Assist with organizing company schedules for awards/events, outings, conferences, etc.
  • Assist Marketing with company’s volunteer program.
  • Assist with coordinating company events with the Marketing Coordinator

Qualifications

  • Can‐Do” Attitude to work, grow, learn and accomplish goals in a team environment
  • 4‐year bachelor’s degree, preferrable but not required.
  • Zoom Conferencing experience
  • Strong verbal and written communication skills
  • Demonstrated leadership ability.
  • Time management skills with the ability to prioritize workload
  • Experience with Microsoft Office software, including Word, Outlook, and Excel
